Terms and Conditions

These Terms and Conditions ("Terms") govern your access to and use of the registration.expert platform ("Service"), operated by Event-Crew Australia ("we", "us", or "our"). By creating an account or using the Service you agree to be bound by these Terms.
1. The Service
registration.expert is a software-as-a-service platform for managing academic conferences, including paper submissions, peer review, attendee registration, scheduling, and on-site check-in. We grant you a limited, non-exclusive, non-transferable licence to use the Service for these purposes in accordance with these Terms.
2. Accounts
You must provide accurate information when creating an account. You are responsible for maintaining the confidentiality of your credentials and for all activity that occurs under your account. Notify us immediately at support@registration.expert if you suspect unauthorised access.
You must be at least 16 years old to use the Service. By accepting these Terms you represent that you meet this requirement.
3. Conference Organisers
If you create a conference on the platform you are the "Organiser" for that conference. As Organiser you are responsible for:
- the accuracy of conference information published through the Service;
- compliance with applicable laws when collecting attendee registration fees;
- ensuring invited team members and reviewers have consented to their roles;
- the content of any communications sent via the Service to attendees or authors.
4. Payments and Fees
Subscription fees are billed in advance on a monthly basis. Per-ticket fees are collected at the time of attendee registration and remitted to the Organiser via Stripe, less our platform percentage and any Stripe processing fees.
All fees are quoted in Australian dollars (AUD) unless otherwise stated. We reserve the right to change our pricing with 30 days' notice. Continued use of the Service after a price change constitutes acceptance of the new fees.
Subscription fees are non-refundable except where required by law. Disputes relating to attendee registration payments are handled between the Organiser and attendee; we will cooperate with Stripe chargebacks and fraud investigations.
5. Acceptable Use
You must not use the Service to:
- violate any law or regulation;
- send unsolicited communications not related to a legitimate conference;
- impersonate any person or organisation;
- upload malware, viruses, or any destructive code;
- attempt to gain unauthorised access to any part of the Service or its infrastructure;
- scrape, crawl, or systematically extract data from the Service without our written permission.
We reserve the right to suspend or terminate accounts that breach these rules without notice.
6. Intellectual Property
The Service and its underlying software, design, and branding remain the exclusive property of Event-Crew Australia. You retain all rights to content you upload (paper PDFs, logos, schedules), and you grant us a limited licence to store, process, and display that content solely to provide the Service.
7. Data and Privacy
Our collection and use of personal information is described in our Privacy Policy, which forms part of these Terms.
8. Availability and Warranties
We aim for high availability but do not guarantee uninterrupted access. The Service is provided "as is" and "as available" without warranties of any kind, to the fullest extent permitted by law.
9. Limitation of Liability
To the maximum extent permitted by applicable law, Event-Crew Australia shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including loss of data, revenue, or conference fees. Our total liability to you for any claim shall not exceed the fees you paid us in the three months preceding the claim.
10. Termination
You may close your account at any time from your account settings. We may suspend or terminate your access for breach of these Terms or for any other reason with reasonable notice, except in cases of serious misconduct where immediate termination may be necessary.
On termination, conference data is retained for 90 days to allow export, then deleted. Paper PDFs stored in object storage are deleted immediately.
11. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or via an in-app notice at least 14 days before the change takes effect. Continued use of the Service after that date constitutes acceptance of the revised Terms.
12. Governing Law
These Terms are governed by the laws of New South Wales, Australia. Any disputes shall be subject to the exclusive jurisdiction of the courts of New South Wales.
